Job Summary

As a receptionist, you will be the first point of contact for visitors and clients, greeting them warmly and professionally. Your responsibilities include answering incoming phones, directing enquiries, and assisting with administrative activities to ensure the reception area runs well. Your strong communication skills, customer service focus, and organisational talents will all contribute to a great and efficient experience for both visitors and employees.

Key Responsibilities:

  1. Front Desk Operations: Greet and welcome visitors, clients, and employees entering the organization.
  2. Phone Management: Answer and manage incoming phone calls, transferring calls to the appropriate personnel or taking messages.
  3. Appointment Scheduling: Assist in scheduling appointments or meetings for clients and staff.
  4. Visitor Assistance: Provide information and assistance to visitors, directing them to the appropriate department or personnel.
  5. Mail Handling: Receive, sort, and distribute incoming mail and packages.Public Area Attendant
  6. Administrative Support: Perform various administrative tasks, such as filing, photocopying, and data entry.
  7. Visitor Logs: Maintain visitor logs and security protocols for tracking visitors’ entry and exit.
  8. Reservation Management: Handle conference room reservations and manage meeting schedules.

Qualifications

  • A minimum of 1 year(s) of working experience is required.
  • Candidates must be a Bachelor’s / College Degree holder in Mass Communications or similar fields.
  • Female applicants are preferred for this role.
